March 29, 2009 Annual Congregational Meeting

Congregational Meeting
March 29, 2009 – 11:30 a.m. – North Chatham School, Chapel Hill, NC

The meeting was called to order by the Reverend Mindy Douglas Adams just before the close of worship, and was opened with prayer.  Rev. Adams stated that the Clerk of Session, Mary Donna Pond, was available to serve as Clerk for the meeting.  Hearing no other nominations, she called for a vote and Mary Donna was elected as Clerk.  Rev. Adams then asked if a quorum was present; Mary Donna noted that a quorum, being ten per cent of the membership, was present.

Rev. Adams stated that the meeting had three purposes.  The first was to receive the 2008 Annual Report.  After hearing brief reports from the Clerk, the Treasurer, Jack Zollinger, and the Pastor, the congregation was invited to ask questions.  None being offered, Stan Campbell moved that the report be accepted.  The motion was seconded by Wes McGraw and passed without dissent.

The second purpose of the meeting was to elect officers.  Chuck Rickard, chair of the Nominating Committee, thanked the other members of the Nominating Committee.  He then presented the following slate of officers to serve a three-year term, until 2012:

Deacon:           Edith Dengler, Lee Werley, Susan Walkup

Elder:               Michelle Morehouse, Marcia Ladd, Vicky Raymond

Rev. Adams opened the floor for nominations.  Hearing none, Jerry Wehmeuller moved that the nominations be closed.  David Webster seconded the motion which passed without dissent.  Rev. Adams then called for a vote for the slate of Deacon nominees; it passed unanimously.  She then asked for a vote for elders which also passed unanimously.

The third purpose of the meeting was to approve Terms of Call for the Pastor.  Rev. Adams invited Marcia Ladd, Chair of Personnel, to moderate the meeting while she and her family left.  Ms. Ladd recognized the members of the Personnel Committee and described the annual evaluation of the Pastor, including input from several members of the congregation.  She gave the details of the terms of call, being a 5% increase in salary and housing.  Lynne Hoerter moved that the revised Terms of Call be approved; Jack Zollinger seconded the motion.  It passed without dissent. 

Rev. Adams returned.  She adjourned the meeting with a benediction at 11:50 a.m.
