Congregational Meeting, November 18, 2012 – Sanctuary
The meeting was called to order by Mindy Douglas at 11:30 a.m. with prayer. Mary Donna Pond was elected to serve as Clerk and a quorum was declared.
The purpose of the meeting was to approve a motion from the Operations Manual Task Force
concerning policies regarding the Nominating Committee.
Mindy recognized the Task Force chair, Forrest Johnson, who explained that the most recent Book of Order does not give specific definition or responsibilities for the church Nominating Committee, leaving those details to the congregations to determine for themselves. Therefore, the Task Force recommended that the following definition and responsibilities be adopted for Chapel in the Pines’ Nominating Committee:
Membership: The committee shall consist of five members, representative of active members of the church. One member shall be a current Elder, elected by the Session. One member shall be a current Deacon, elected by the Board of Deacons. Other members of the committee shall be elected by the congregation, and may not be in active service on the Session. The committee members shall elect a Committee Chair at the committee’s first meeting after being elected. The term for all members is one year, and members can serve no more than three consecutive terms.
Duties: The Nominating Committee shall have the responsibility to secure and present:
- a slate of candidates for each of the boards – Session, Deacons, and Trustees – for election at an annual congregational meeting.
- a slate of candidates for the member-at-large positions on the Nominating Committee for election at an annual congregational meeting.
- candidates for unexpired terms on any of the elected boards for election by the congregation.
- candidates for any committee as directed by the Session such as the Pastor or Associate Pastor Search Committees.
The motion, coming from the Task Force, did not require a second. Mindy asked for questions and following brief clarification, the vote was taken. The motion passed without dissent.
Mindy thanked Forrest for the work of the Task Force. A motion to adjourn the congregational meeting was seconded and approved. The congregational meeting was adjourned and Mindy dismissed the congregation at 11:45 a.m. with prayer and a benediction.
